THIS IS AN ENTRY LEVEL HOURLY POSITION

PURPOSE
To provide administrative support to the Employee Benefits Coordinator and to serve as a backup for the corporate receptionist and mailroom.

ESSENTIAL DUTIES
  • Prepare and type various benefits related letters and mail to homes for newly eligible employees
  • Review all benefit enrollment paperwork for accuracy
  • Follow-up with employees to gather missing or incomplete benefit enrollment paperwork
  • Add employees and/or eligible dependents on healthcare into on-line insurance carriers
  • Add employees and/or eligible dependents on healthcare in the HRMS system
  • Provide back up support for the Receptionist desk (as needed)
  • Provide back up support for the Mail Room (as needed)
  • Provide back up to the Employee Benefits Coordinator (as needed)
  • Administer all Voluntary Benefits
  • Add/term or make changes on the COBRA administration/enrollment and Reconciliation
  • Order insurance ID cards for employees
  • Make Benefit kits
  • Present benefits materials to employees
  • Filing
  • Ability to react to change productively and handle other essential tasks as assigned
 OTHER DUTIES
  • Assist with the following projects (once/year): Katherine Hammel Scholarship, Blood Drive, Bring Your Child to Work Day; Cookouts and uniforms
  • Assist with Annual Spouse Certification
  • Assist with Semi-Annual Student Certification
  • Mail Terminal Talks to Retirees
  • Complete HR projects as needed
  • May occasionally be required to provide administrative duties to HR
 MINIMUM REQUIREMENTS
  • Two to three years of clerical & administrative experience required.
  • Previous customer service and/or receptionist experience preferred.
  • Mailroom experience preferred but not required.
  • Proficient in Microsoft Office Software products, specifically Word & Excel.
  • Must be able to handle customer (internal and external) complaints in a professional; upbeat and calm manner.
  • Strong organizational skills.
  • Ability to maintain confidentiality in all aspect of HR information.
  • Ability to maintain exceptional degree of discretion regarding confidential information.
  • Ability to work independently using good judgment or as part of a team.
  • Excellent interpersonal, verbal, and written communication skills.
  • Knowledge of computerized, multi-line telephone system.
  • Flexibility with changing job duties.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS

Office Work

  • Monday through Friday, hours may vary depending on department needs. No weekend hours and minimal overtime required
  • Quiet to moderate noise level
  • Daily movement between two floors
  • Primarily sedentary work – may be required to lift up to 25 pounds or exert up to 10 pounds of force occasionally and/or negligible amount of forces frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body.  Sedentary work involves sitting most of the time.  Walking and standing are only required, occasionally. 
  • Close visual acuity is required to perform activities such as preparing and analyzing data and figures, viewing computer terminal, and extensive reading.
  • Typical exposure to interior environmental conditions like air conditioning and dust; no substantial exposure to adverse environmental conditions.
  • Manual dexterity is regularly required including fingering, grasping, and typing; manual dexterity includes repetitive motion of the wrists, hands, and fingers.
  • Talking and hearing required to communication with and listen to others to share or receive information.  May be occasionally exposed to noise including telephone, office machinery, and conversations of others.
Mailroom work
  • Long periods of standing may be required for sustained periods of time to operate machinery and to sort mail
  • Moderate to loud noise levels due to mail machines
  • Daily movement between two floors
  • Frequent movement and non-sedentary work required – may be required to lift up to 40 pounds or exert up to 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects including the human body in a sustained motion; walking is frequently required for sustained periods of time 
  • Close visual acuity is required to perform activities such as reading mail, entering data, viewing computer terminal, operating machinery, and extensive reading.
  • Typical exposure to interior environmental conditions like air conditioning and dust; no substantial exposure to adverse environmental conditions
  • Manual dexterity is regularly required including fingering, grasping, and typing; manual dexterity includes repetitive motion of the wrists, hands, and fingers
  • Talking and hearing required to communication with and listen to others to share or receive information.  May be occasionally exposed to noise including telephone, office machinery, and conversations of others.
