PURPOSE

To coordinate all aspects of corporate mail services including for vendors, lessees, and employees and to provide administrative support to the human resources department and the corporate receptionists.

ESSENTIAL DUTIES
  • Receive, sort and distribute incoming mail
  • Collect outgoing mail and packages, and use scales and postage meters to weigh and affix postage
  • Perform basic, semi-skilled maintenance on mail equipment and arrange technical support when needed
  • Coordinate bulk mailings
  • Coordinate the terminal-to-terminal truck mail
  • Maintain excellent customer service with internal/external customers for mail room services 
  • Receive, inspect, record, and deliver incoming courier packages.
  • Validate, approve, and maintain records of vendor invoices; resolve invoice issues
  • Maintain/reconcile the stamp cash box
  • Schedule pick-ups and deliveries on an as-needed basis
  • Deliver mail daily to the Vice Presidents
  • Order mailroom supplies
  • Provide personal mail service (sell stamps and mail personal parcels)
  • Coordinate the company uniform program for the Drivers
  • React to change productively and handle other essential tasks as assigned
OTHER DUTIES
  • Perform clerical duties including but not limited to photocopying, faxing, and filing
  • Create and maintain personnel files for active and terminated employees
  • Package files for storage of uniforms
  • Hold blank stock of stationary supplies and print and distribute stationary on request
  • Data entry into HRIS system upon request
  • Provides back up to Building Maintenance for campus mail pick up
  • Provide Front Desk phone coverage for Corporate Receptionists
  • File and retrieve personnel documents/records including personnel, medical, and other employment paperwork
MINIMUM REQUIREMENTS
  • Previous mailroom experience strongly preferred but not required.
  • Two to three years of clerical & administrative experience preferred particularly
  • Previous customer service and/or receptionist experience preferred but not required
  • Proficient in Microsoft Office Software products, specifically Word & Excel
  • Strong organizational skills
  • Ability to work independently using good judgment and function as part of a team.
  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational and time management skills
  • Must possess excellent interpersonal, verbal and written communication skills
  • Command of English language to communicate effectively with internal and external customers
  • Must possess basic analytical and critical thinking skills
  • Ability to maintain exceptional degree of discretion regarding confidential information
  • Ability to work individually and as part of a team
  • Ability to establish and maintain effective relationships with all levels of internal and external customers
  • High school diploma required for writing, performing mathematical calculations, using spreadsheets, and communicating
  • Flexibility with changing job duties
WORKING CONDITIONS/PHYSICAL REQUIREMENTS 
Mailroom work
  • Long periods of standing may be required for sustained periods of time on tile floor and occasionally hard surfaces, including concrete, to operate machinery and to sort mail (approximately 4  hours per shift)
  • Moderate to loud noise levels due to mail machines
  • Daily movement between three floors
  • Frequent movement and non-sedentary work required – may be required daily to exert up to 50-100 pounds of force to lift, carry, push, pull or otherwise move objects including the human body in a sustained motion; walking is frequently required for sustained periods of time 
  • Close visual acuity is required to perform activities such as reading mail, entering data, viewing computer terminal, operating machinery, and extensive reading.
  • Typically work in 63-80 degree temperatures with occasional exposure to external weather conditions including extreme heat and cold.  Interior environmental conditions like air conditioning and dust; no substantial exposure to adverse environmental conditions
  • Manual dexterity is regularly required including fingering, grasping, and typing; manual dexterity includes repetitive motion of the wrists, hands, and fingers
  • Talking and hearing required to communicate with and listen to others to share or receive information.  May be occasionally exposed to noise including telephone, office machinery, and conversations of others.
  • Safety Equipment: Gloves and ear muff (not mandatory)
Office Work
  • Monday through Friday, hours may vary depending on department needs. No weekend hours and minimal overtime.
  • Quiet to moderate noise level
  • Daily movement between three floors
  • Primarily sedentary work – may be required to lift up to 25 pounds or exert up to 10 pounds of force occasionally and/or negligible amount of forces frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body.  Sedentary work involves sitting most of the time (approximately 4 hours per shift).  Walking and standing are only required occasionally.
  • Close visual acuity is required to perform activities such as preparing and analyzing data and figures, viewing computer terminal, inputting data, and extensive reading.
  • Typical exposure to interior environmental conditions like air conditioning and dust; no substantial exposure to adverse environmental conditions.
  • Manual dexterity is regularly required including fingering, grasping, and typing; manual dexterity includes repetitive motion of the wrists, hands, and fingers.
  • Talking and hearing required to communicate with and listen to others to share or receive information.  May be occasionally exposed to noise including telephone, office machinery, and conversations of others.
